Central Archive of the Rectory

The Central Archive of the Rectory was officially created in 2011. However, in 1996, the first interventions were made to the documentation accumulated in the basement of the Rectory’s main building, which at the time was located in Rua de D. Manuel II.

The space had about 120 m2 and included a small number of bookshelves. Part of the documents were on the floor or inside boxes, loose and in bundles.

The technical treatment of this information presupposed the individual analysis of scattered documents. The goal was to reorganise everything by creating primitive information units. Most of this information came from the academic services and included individual student processes, certificates of enrolment, exam scores, student forms, etc.

Two years later, we were able to recover a significant share of different archives in their original order. In 1998, when the space was equipped with fixed metal bookshelves, we proceeded to identify documentation with a reference code that would be registered in a database. By this time, the physical dimension of the archive was about 500 linear metres and the overall state of document conservation was average.

At the end of 2001, fixed bookshelves were substituted with a more compact sliding system, which greatly improved storage conditions. The new system enabled an increase in the capacity of the facility, which measured 1700 metres at the time (almost four times larger than before). During this period, a fire detection system was installed. The devices used to reduce relative humidity and to filter the air became more common.

In 2006, when the documentation was moved to the Rectory, the Physical Archive collection had about 2 km of documents in paper.

Location of the Rectory’s Archive

In 2007, after the Rectory’s services moved to Praça Gomes Teixeira, the documentation archived in the ex-CICAP building was transferred to the historical building. Since the collection could not be kept in a single space, it was divided between the Rectory and Rua dos Bragas (Parcauto).

The information shown below is about the storage areas of the Rectory’s Physical Archive.

Parcauto

Location: The depository named “Parcauto” is on the ground floor of the Parcauto building, which used to belong to the Faculty of Engineering. The part of the collection that could not be stored in Praça Gomes Teixeira was moved to the Parcauto.

Space Occupied: The collection stored in Parcauto measures about 800 metres.
